1. Who We Are

This Privacy Policy describes how VeloraPay LLC ("VeloraPayco," "we," "us," or "our") collects, uses, and protects information through the VeloraPayco web platform at velorapayco.com and the VeloraPayco mobile application (Android package com.velorapayco.app, iOS bundle com.velorapayco.app), collectively the "Platform." VeloraPay LLC operates from 2572 Cleveland Ave, Suite A-4, Columbus, OH 43211, United States. We are not affiliated with VELORAPAY LIMITED (a UK company registered at Companies House) or any other entity using a similar name. Our official identifier is the domain velorapayco.com.

2. Data Types We Collect

We collect only the data needed to operate the Platform for our business customers and their authorized users:

  • Personal identifiers: name, email address, phone number, mailing address, date of birth, last four digits of SSN/ITIN (where required for payroll/tax).
  • Account & authentication data: hashed passwords, session tokens, multi-factor authentication factors, login timestamps.
  • Employment & HR data: employee records, job titles, departments, hire/termination dates, credentials, certifications, training records.
  • Financial data: payroll amounts, pay rates, deductions, tax withholdings, bank account numbers and routing numbers (for direct deposit), invoices, billing and claims data.
  • Compliance & operational data: driver hours-of-service logs, vehicle inspection records, classroom attendance, client caseloads, license expirations.
  • Documents & files: uploaded W-2/1099 forms, I-9s, certifications, signed agreements, and similar records.
  • Device & usage data: IP address, device model, operating system version, app version, crash logs, diagnostic information, and in-app activity logs.
  • Approximate location: derived from IP address for security and audit logging. We do not collect precise GPS location from the mobile app unless the customer enables an optional feature (e.g., driver ELD logs) that requires it.

We do not collect information from advertising identifiers, contacts, photos, microphone, calendar, or browsing history outside the Platform.

3. How We Use Your Information (Processing Purposes)

  • Provide the service: create accounts, authenticate users, render dashboards, process payroll and tax calculations, manage billing, claims, scheduling, and compliance tracking.
  • Account management: communicate service notices, password resets, and security alerts.
  • Security & fraud prevention: detect unauthorized access, enforce rate limits, maintain audit logs.
  • Legal compliance: meet IRS, DOL, FMCSA, state, and other applicable record-keeping requirements.
  • Product improvement: diagnose crashes and improve performance using aggregated, non-identifying analytics.

We do not use your data for advertising, ad targeting, ad measurement, or sale to data brokers.

4. Legal Basis for Processing

VeloraPay LLC processes personal data to perform our contract with the customer organization, to comply with legal obligations (tax, employment, and transportation regulations), and based on our legitimate interest in securing and improving the Platform.

5. Data Sharing

We share data only with:

  • Authorized users within your organization, according to roles and permissions you configure.
  • Service providers (sub-processors) who host and operate the Platform on our behalf, including database, authentication, storage, hosting, and email delivery providers located in the United States. Each is bound by a data processing agreement with VeloraPay LLC.
  • Government authorities when required by law, subpoena, or to comply with tax/employment regulations.
  • Acquirers in the event of a merger, acquisition, or asset sale involving VeloraPay LLC, subject to this Policy.

We do not sell or rent personal information.

6. Data Isolation & Security

Each customer organization's data is isolated using database-level row-level security; users can access only data belonging to their organization. All data is encrypted in transit (TLS 1.2+) and at rest. VeloraPay LLC enforces role-based access controls, audit logging, and least-privilege administration. Sensitive payroll, tax, and health-related records receive additional access restrictions.

7. Data Retention & Deletion

We retain personal data for the duration of the customer's subscription and for the periods required by law afterward — typically 4–7 years for payroll, tax, and employment records (per IRS and state requirements), and as required by FMCSA and other applicable regulators. When data is no longer needed, it is deleted or irreversibly anonymized.

You may request deletion of your account by emailing sales@velorapayco.com. Deletion requests are honored within 30 days, subject to legal retention obligations.

8. Your Rights

Depending on your jurisdiction, you may have the right to: access your personal data; correct inaccurate data; request deletion; export your data in a portable format; restrict or object to processing; and lodge a complaint with a supervisory authority. 9. Children's Privacy

The Platform is intended for business users aged 18 and older. We do not knowingly collect personal information from children under 13. Where customer organizations (e.g., childcare centers) record information about minors as part of their operations, that data is controlled by the customer organization and processed by VeloraPay LLC only on their instructions.

10. Mobile App Permissions

The VeloraPayco mobile app (com.velorapayco.app) requests only the permissions needed for the features you use:

  • Internet access — required to communicate with our servers at velorapayco.com.
  • Camera / Photos — only when you choose to upload a document or signature.
  • Notifications — only if you opt in to push alerts.

The app does not contain third-party advertising or behavioral tracking SDKs.

11. International Transfers

Personal data is stored on servers located in the United States. If you access the Platform from outside the U.S., your data will be transferred to and processed in the U.S. under appropriate safeguards.

12. Changes to This Policy

We may update this Privacy Policy from time to time. Material changes will be communicated via email or in-app notification, and the "Last updated" date above will be revised.
